[XBS-3880] - xbs: added Sales Intelligence feature, which with the help of AI features, allows to get valuable insights and deeply analyze calls and conferences

Requirements:

• x-bees SuperBee license
• ACL permissions: can See call recordings and can See analytics
• The following dialplan variable set in WMS -> Dialplan -> General settings -> Set dialplan variables: TRANSCRIBE_RECORDED_CALLS=yes

How-to:

1. Go to the Sales Intelligence tab on the left side panel of x-bees
2. Sales Intelligence includes the following tabs:
   - All: the list of all calls and conferences
   - Your calls: the list of your calls and conferences only
   - Company: the list of calls and conferences within the company, in which you didn’t participate

The list is sorted by time, displaying the latest calls/ conferences first. An entry on the list includes the title of the call/ conference, short summary, language, agents and clients details.

You can filter calls/ conferences by participants, service, words or phrases pronounced, date, language, duration, as well as choose to show recorded, transcribed, outbound/ inbound, or internal calls/ conferences only. By default, only recorded calls/ conferences are displayed.

When you filter data and save the filter, the filter is added as an additional tab in Sales Intelligence top panel. If needed, you can edit or delete the saved filters.

When you click on a call/ conferences, their details open. On the right you can find the Highlights section with summary and key points, next steps, etc. Also, you can listen to the call or switch to the Transcription view, change the audio speed, download the recording or transcription, or share the link.

Under the call/ conference section you can see the percentage of Agent’s or Client’s talking, talking speed (number of words per minute). Interruptions are moments during calls when call participants were talking at the same time.

Comments section allows to start a conversation with colleagues. When you write a comment, a conversation is created with all participants.

For calls and conferences that were not recorded it is not possible to listen to the audio or view the transcription. However, for conferences there is visualization of how much participants were speaking.

Requirements: 

x-bees-Standard license for each user who needs to use the integration

How-to:

1. To enable the integration, go to WMS -> PBX -> Integrations -> Cloud integrations
2. Click on x-bees Client integrations
3. Proceed to Ready integrations tab
4. Under Microsoft 365, click Install

Once installed, users need to activate the integration in x-bees. You can find instructions here: How to manage Client integrations in x-bees

After the integration is activated in x-bees, users can find Microsoft 365 contacts in Live and Dialpad search. Also, on the Info frame, agents can find the list of latest emails with Microsoft 365 contact. By clicking on the email entry, a separate window opens where agents can reply or forward the email.

How-to:

1. Click on the AI assistant icon next to the message input field or next to the necessary message in the conversation
2. Choose one of the options below:
   • Reply: generate suitable replies to the incoming message, to streamline conversations and improve response quality.
   • Rephrase: rephrase a given piece of text (can be applied to the text in the input field or the last message in conversation) .
   • Summary: generate summary of the last received messages in the conversation, to extract key points or condense information, making it easier to understand.
   • Expand: generate more informative text based on the input (can be applied to the text in the input field or the last message in conversation).
   • Explain: ask to explain some concepts or topics (can be applied to the text in the input field or the last message in conversation).
   • Shorten: shorten a lengthy text or message, to trim unnecessary details and improve readability (can be applied to the text in the input field or the last message in conversation).
   • Translate: translate text into your browser language(can be applied to the text in the input field or the last message in conversation).
3. On the dialog that pops up, AI generates the necessary text. You can copy the output, click Generate again (if you are not satisfied with the result) or Apply, for the text to appear in the message input field.
   To create your own command, click on the add (+) button on the AI assistant screen, you can create your own command.

Note: The feature is available for users with x-bees-Standard license or higher. The feature is not available for guests (users not connected to the PBX).

Current limitations:

• The feature is available in English language. Translations into other languages will be added in future releases.
• External contacts from integrations are displayed with email address instead of a name inside AI Assistant and in the generated results, which should be fixed in future releases.
• Guest user, after connecting to the PBX, should refresh the page for the AI Assistant button to be displayed.

Currently, there are two ways to access conversation menu: you can either right-click on it or hover on the conversation and click on the dropdown menu button.

[WMS-19358] - wizy: introduced half-webinar mode to boost performance in case of conferences with a large number of participants 

Half-webinar mode suggests there are Speakers and Visitors in the conference (for meetings with more than 30 participants). First 30 members who join the conference are automatically added as Speakers, while the rest participants join as Visitors. 

Visitors have access to a limited conference functionality compared to Speakers:

• Visitors do not have Mute/ Unmute and Start/ Stop camera buttons. 
• If a Visitor wants to speak in the conference, they should raise a hand and a Speaker should admit the request. When the request is admitted, Visitor is moved to Speakers. There is no restriction to the number of Visitors that can be moved to Speakers. 
• A separate counter at the top displays the number of visitors in the conference.
• Speakers can manage Visitor requests (Reject/ Admit visitors) via push notifications or via the Participants panel.
  Note: It is currently not possible for speakers to manage visitor requests via mobile.

[XBS-3612] - web+mobile: added possibility to send 2-way MMS for US/Canada CLASSOUND DIDs

Requirements:

• Activated CLASSOUND
• CLASSOUND DID configured as SMS number for at least one Service (Call group) in WMS (Dialplan -> Call Groups -> edit Call Group -> SMS number). Otherwise, the option “Create SMS conversation“ is not available.
• WMS 6.04.20231020 or higher
• Currently, sending MMS is only available for US and Canada, so both numbers (customer and service number) should be US/ Canadian (starting with +1).

How-to:

1. Click on the + button on the top panel and select Create SMS conversation
2. Enter the recipient's phone number and choose Service
3. Click Create conversation
4. In the conversation you’ve just created, click on the attach icon to the left of the message field and choose the file you want to send

Note:

• You can find the list of supported files on this page: List of Supported File Types for Two-Way MMS
• The allowed number of files that can be sent in a MMS is 10.
• The maximum allowed size of MMS message is 3.5 MB. When adding multiple files, if their total size exceeds the 3.5 MB limit, some of the files are deleted so that the remaining ones are not more than 3.5 MB.
• When sending a text message along with an attachment, the text is sent as an SMS and the attachment as MMS. In this case, the same text limits apply as for SMS: 670 characters.
• In case of sending a text file, the operator transforms the file into text, so the recipient receives an SMS (or several SMS, if the length of the original message is more than 4500 characters).

[WMS-18622] - wda: improved the logic of Ring and Wait Time metrics in Cloud Analytics (CDR-View 2.0) to provide more accurate data

• Ring time reflects the time when an agent is being called. In case of a call group, if at least 1 available agent is called, it is considered ring time. If there are no available members in the call group, it is considered wait time.
• Wait time consists of time spent in IVR, listening to announcements, in queue while no agents are available, and time when the call was put on hold.

• The audio player is interrupted in case of a call or after switching to another conversation.

New Feature

[XBS-3300] - xbs: added possibility to view real-time transcription of the conference in a separate window or on the Info tab and access the conference transcription in x-bees conversation afterwards

Requirements:

• x-bees Standard license or higher
• Transcription feature enabled in the conference
• To be able to access transcriptions, user should have ACL “Can See call recordings” in WMS. If the user has the permission but did not participate in the conference, to be able to access the transcription, the user should have ACL “Can See analytics” of the users who participated in the conference.

How-to:

1. To view transcription during the conference, click the Transcription button in the top right corner under the Info button.
2. A separate window opens where you can see the transcription of the conference in real time. In case you expand it, the real-time transcription gets displayed on the Info tab.

When the conference ends, you can find the link to the transcription in the conversation and can either open or download the transcription, which provides the possibility to review the conversation afterwards.

• Limitation: In some cases, in downloaded transcriptions there could be an email of external contact instead of a name.
• It is not possible to view real-time transcription on mobile, however, mobile version allows to download the transcription.
• Currently, only English, Italian, and Spanish languages are supported. Support of French and German should be added later.

[XBS-3390] - web: added possibility to join ongoing conversations with external users via Live Dashboard

• Live Dashboard displays only ongoing conversations, which include at least one external user. Conversations between internal users are not displayed. Conversation is considered ongoing if there was a message from a customer or agent within the last 30 minutes.
• If an external user sent a message, but the agent didn’t reply yet, the conversation status on the Live Dashboard is “No reply”. When the agent replies, the conversation status is Active.
• To join a conversation, click the Join button next to the relevant conversation on the Live Dashboard.
• If the conversation is public (Available by link), there are no limitations to join the conversation. If the conversation is not public (not available by link), to be able to join the conversation via Live Dashboard, user should belong to a group with ACL “can - Intrusion” permission in WMS. The logic is the following:
  • The system checks if the user is allowed to make an intrusion to the user who has conversation with external members.
  • If the assignee of the conversation corresponds to the requirements, the intrusion is allowed.
  • In case there is no assignee, the system checks the owner of the conversation (the first user who sent message to the external member).
• The intrusion is not silent: when a user joins the conversation, all participants (both agents and guests) can see that a new member joined.
• The feature is available for users with x-bees-SuperBee license.

Note: For old conversations (created before 18 December 2023), created through the website widget with a group of agents, the Service tag is not displayed on the Live Dashboard.

• Sharing files, sending emoji, GIFs, editing/ forwarding messages is not allowed in SMS conversations.
• An agent can add internal members to the conversation, assign or reassign the conversation to Service members. Adding external users to SMS conversation is not allowed.
• If the agent tries to create a new SMS conversation but SMS conversation with the same Service for the current SMS number already exists, the agent is added to the existing conversation.
• If all participants left the SMS conversation and the customer sends an SMS, all service participants are added back to the conversation to ensure the customer's response is received.

How-to:

3. Click on the sound icon next to the relevant call to download the call recording

Current limitations: 

• In case of a WMS Network, you need to be logged in to the PBX, which the recording belongs to. Otherwise, the recording cannot be downloaded.  
• If there were several recordings during a call, only the latest recording is displayed. 

Another improvement: in the PBX field on the Data Grid report, PBX domain name is now displayed, instead of the serial number.

   • “veesion_user_extension”: “enter extension of the user added in WMS”

When there is an alert from Veesion, the relevant message, containing alert type, date, time, camera IP, ID of the camera and group, as well as video attachment, is sent to x-bees conversation.

[WMS-17057] - x-hop: added possibility to transcribe content of x-hoppers conference and post it in x-bees conversation on behalf of the user who is speaking

[XBS-1829] - kite: improved Kite conversation names and avatars displayed to agents and guests

• For agent, guest name is displayed in the conversation title both in one-on-one and group conversations. In case another guest is added to the conversation, their name is added to the conversation name.
• For guest, agent name is displayed in the conversation title in case of a direct Kite conversation. In case of a group conversation or direct Kite conversation via widget, service name is displayed in the conversation title.
• In case chat is renamed, the new name is displayed both to agent and guest.
• Avatars are set according to the displayed name (agent or service for guest). In case of adding or removing users, conversation avatar is updated accordingly.

Limitations:

• When an agent or guest adds other guests or agents, search is limited to initial members of the conversation. It is not possible to find the conversation by entering new members’ names in the search field.
• The updates don’t affect email notifications about unread messages, where conversation names follow the old logic.

[WMS-15852] - sys: improved the logic of updating user status in case of a confirmed Google Calendar event that is inside another longer event

After participating in an event that is inside another longer event, user status changes to this corresponding longer event.

Limitations:

• The updated logic is applied to standard and Out of office events. Task and Appointment slots don’t support the updates.
• Custom user presence and status are not restored after the end of the event. 
• Custom user presence and status are not restored after the end of the conference started manually.
• In case of changing response to the event invitation or deleting an event that is already in progress, the status is not updated.
• There may be some issues related to Google Calendar integration and Wizyconf, which should be fixed in future releases.  

[WMS-16237] - kite: added automatic logging of scheduled meetings to Salesforce/ HubSpot

Note:

• The feature works only for meetings created by guest users using Kite Meeting Scheduler.
• Scheduled meetings are automatically logged as activities in Salesforce/ HubSpot only if the contact already exists in the CRM records.
• To use this feature - the agent should be present in Salesforce/ HubSpot with the same email as in x-bees.
• The logged activity includes meeting details and description and is marked as open; due date is the meeting date.
• In case the meeting was rescheduled or cancelled, the changes are automatically synced to Salesforce/ HubSpot. If the meeting was rescheduled via Microsoft calendar, it is also synced to Salesforce/ HubSpot.
• Cancelled meetings are marked as closed.

[XBS-1797] - wim: added integration with Microsoft 365 as a calendar provider for Kite Meeting Scheduler

To activate:

1. Go to WMS -> Settings -> PBX -> Integrations
2. Proceed to x-bees tab
3. Click on Microsoft 365 option -> press Install button
4. Log in to your Microsoft account and confirm requested permissions. 
   Note: User should have organization account type and Global administrator role (Azure AD)
5. After successful authorization, Microsoft 365 integration gets installed.

Notes:

• Sync of users from Azure AD is performed basing on the Primary email address: user’s primary email in Azure AD and in WMS should match. User’s primary email address can be changed by an administrator.
• Users should have a valid license allowing them to use Outlook and mailbox.
• Calendars added via Outlook -> Settings -> Add personal calendars / Add from directory are not synced.
• New custom calendars are added once a day at night when fully synced or as soon as they are updated (e.g. renamed).
• In order for avatars and icons to be displayed in emails about calendar events in Outlook, the user must confirm that they trust the no-reply@x-bees.biz address (this can be done directly through the notification from Outlook, displayed in the header of the mail).
• On the Kite Settings -> Calendar Settings page, working hours correspond to the settings from Outlook. A lunch break from 1 pm to 2 pm is available. Time zone value is also synced, but time zone name may differ.

• Note: In case the guest is added to an existing conversation, the creator of the conversation is displayed as the inviter in the email notification, even if the invitation was sent by another agent.

[XBS-1634] - web+mobile: added possibility to select a device for making outgoing calls How-to:

• Click on the Dialpad
• To the left of the green Call button, click “This device”
• Select the preferred option from the list (e.g. Android x-bees, iOS x-bees, etc.)

Notes:

• The settings are global, which means they are applied to all outbound calls, regardless from where they are initiated (e.g. from History, from conversation). When hovering a mouse over the call button, e.g. in History, a tooltip is displayed, informing from which device the call will be made.
• The device selection is available both on web and mobile.
• In case the chosen device becomes inactive (loses SIP connection), the device is automatically switched to the current one (the grey “This device” button is displayed in this case).
• Initiated call is displayed and managed as a remote call.
• There is “Callback on mobile” option available only if there is mobile number indicated in user settings.
• On mobile devices there is an option Mobile, which allows to make a call via GSM.

Limitations:

• If there are several devices of the same category (e.g. several iOS or Android devices), it is not possible to choose from which device of the chosen category the call will be made on.

Notes:

• Notification is played once, for 7 seconds, unless user opens Inbox. Notification is played even to users with DND/ Away presence status.
• Notification is not played if: a) user has an active call or conference; b) user is on the Inbox tab; c) x-bees tab is closed.
• If there are several simultaneous calls, the notification is played one time.
• Sound notifications on mobile and for Kite are currently not supported.

• User can unsubscribe from emails via the unsubscribe button. System emails, e.g. with one time password, are still sent, even after user unsubscribes.
• Email notifications are not sent if: a) user logged in to x-bees mobile app, as they get push notifications on mobile; b) conversation is muted; c) user unsubscribed from email notifications.
