This document helps you understand Wildix licensing and explains how to activate a Wildix PBX (Hardware, Virtual, Cloud) Per-User or Per-Service.

Understanding Licensing

Wildix currently offers two types of licensing:

  • Per User

  • Per Service

PBX Per User

If you choose Per User licensing, you can add as many users of each profile as you need and add more users whenever you need. You pay per user / per period of time. 

Here are the steps to activate a Per User PBX:

  1. Choose the platform: Hardware, Virtual, Cloud
  2. Choose the recurrent payment cycle: Monthly / Yearly / 5 years / Lifetime (lifetime is not available for Cloud)
  3. Choose the number of users of each Profile: Basic / Essential / Business / Premium

Note: you first select the period of time and then the number of users, this means you cannot select different recurrent payment periods for different types of user profiles, e.g. if the recurrent period is 1 year, it means the users of all types (Basic, Business, Premium) are added for 1 year. You can increase the number of users any time (add more users of any type).

Example: you need 10 users with basic phone services, 30 users with access to Collaboration and only 5 users with access to CDR-View. You activate 10 PBX-BASIC users, 30 UC-ESSENTIAL users and 2 UC-PREMIUM users. At any moment, you can add more users of any type.

Per User licensing is available for any PBX type:

  • Hardware

  • Virtual

  • Cloud

PBX Per Service

If you choose Per Service licensing, you need to purchase one Activation license based on the maximum number of PBX users you need and accordingly purchase UC&C licenses which will be then available for all PBX users.

Example: you need a license for 90 users with access to Collaboration and CDR-View: WGW90-lic (Activation license) + WGW90-COLLABORATE + WGW90-CDR. As a result, all of your users have access to Collaboration and CDR-View.

Per Service licensing is available only for the following PBX types:

  • Hardware

  • Virtual

Activation of Per User PBX | Cloud, Virtual, Hardware

Prerequisites:

  • For Hardware PBX you need first to purchase a PBX in WMP → Cart and purchase the Hardware PBX, code: WPBX-HW


Step 1. Create a Per User PBX on WMP

Proceed as follows:

  • Connect to WMP using your credentials

  • Go to PBX per user tab


  • You are now under Customers tab; to create a new PBX, you first need to add a customer (if it does not exist yet); click Add


  • Create a new customer (company): fill in the fields and click Save


  • You need to create at least one contact: fill in the fields and click Add


  • Now you can proceed with adding a new PBX: go to PBXs tab


  • You are now under PBXs tab, click + to add a new PBX


  • Fill in the fields:

    • Model: select WPBX-CLOUD for Cloud / WPBX-HW for Hardware / WPBX-VM for Virtual

    • Region (only for Cloud PBX): select the datacenter region

    • Serial (only for Hardware PBX): select the PBX serial from the drop-down list

    • Name: PBX domain name by which your PBX is accessible via the browser; in the example provided below, the PBX can be accessed by URL https://elenatest2.wildixin.com

    • Expire: select the recurring billing period: monthly / yearly / lifetime (lifetime is not available for Cloud PBX)

    • PBX-BASIC / UC-Essential / UC-Business / UC-Premium: add the number of users of each profile (more about each profile: https://manuals.wildix.com/licensing)



  • Click Add; your PBX has been created:

Step 2. Activate PBX from WMS

For Virtual PBX: before proceeding, follow the guide to deploy PBX image: https://confluence.wildix.com/x/ygM8AQ 

Proceed as follows:

  • Connect to PBX via HTTPS to access WMS using credentials admin : wildix

  • Change admin user password:

    • Select admin user and click Set passwords

    • Generate or create a new WEB password, click Ok

  • Upgrade WMS to the latest stable release

    • go to WMS Settings -> Tools and utilities -> Upgrade

    • In case there is a new version available, click Perform Upgrade

  • Copy PBX key from WMP:

    • go to the tab PBX per user, select your company, then select the PBX that you have created on step 1

    • click Edit


  • scroll down to the section Advanced features, click on the arrow icon to expand

  • click the eye icon to view PBX Key  

    • copy the PBX key

  • Insert the PBX key on WMS side:

    • open WMS Settings -> Tools and utilities -> Activation & licenses

    • Paste the PBX key copied on the previous step into the field User Mode and click Activate



Your PBX is now activated:

Sharing of Per User Licenses between PBXs over WMS Network

It is possible to share licenses over other PBXs in the WMS Network. Normally this scenario is used for Failover configuration.

Prerequisites for this scenario:

  • The PBXs must belong to the same customer

  • WMS Network must be enabled between the PBXs

  • Cloud PBX can only be the Server PBX

  • All PBXs must be of Per User type

  • There must be no licenses enabled on the Client PBX


To enable WMS Network license sharing, proceed as follows:

  • Go to WMP -> PBX per user

  • Select your company and your customer

  • Select the Client PBX -> click Edit

  • Select WMS Network License and select the Server PBX from the drop-down list

  • Click Save


Note: after you click Save, an automated email is sent to a corresponding Wildix Administration manager who must manually apply this change; please mind that the WMS Network License sharing will be activated during working hours.

Activation of Per Service PBX | Hardware, Virtual

Prerequisites:

  • You need to purchase the following items via WMP → Cart:

    • Hardware PBX: code WPBX-HW (only in case of Hardware PBX)

    • PBX Activation license: codes WGWXX-LIC (from 08 to 5000, based on the number of users you need)

    • Additional Unified Communication licenses: code WGWXX-COLLABORATE (for Collaboration), WGWXX-CDR (for CDR-View)



Before proceeding with PBX activation:


For PBX activation, proceed as follows:

  • Go to WMP -> More -> Licenses


  • Copy the serial number and the activation code of the PBX activation license


  • Go to WMS Settings -> Tools and Utilities -> Activation / Licenses

  • Enter the License serial and the License code into the field Service Mode and click Activate:

PBX is now activated and so are the trial licenses (for the period of three months):



To activate permanent UC&C licenses (non-trial), proceed as follows:

  • Go to WMP -> PBXs

  • Select your PBX and click Details


  • Click Register

  • Select the licenses from the list and click Submit

Reusing PBX license on a new PBX

Scenarios described in this chapter can be useful for trade-in procedures, RMA procedures.


First you need to generate a backup on your old PBX in WMS Settings -> Tools and utilities -> Backup system, and download it. In this case you will be able to restore your new PBX from this backup.

Replace an old PBX by reusing PBX Activation license on a new PBX (Per User PBX)


To reuse the PBX Activation License of your old Per User PBX on your new Per User PBX, proceed as follows:

  • First deactivate the new PBX if it was active
  • Copy PBX key from your OLD PBX:    
    • Go to WMP -> PBX per user 
    • Select your company and your customer
    • Select the Client's old PBX -> click Edit
    • Scroll down to the section Advanced features, click on the arrow icon to expand
    • Click the eye icon (Show) to view PBX Key 
    • Copy the PBX key 

  • Insert the PBX key on your NEW PBX: 
    • On your new PBX open WMS Settings -> Tools and utilities -> Activation & licenses
    • Paste the PBX key of the old PBX copied on the previous step into the field User Mode and click Activate

Once your new PBX is activated, the Activation license is disabled on your old PBX. Now you can restore your new PBX from backup that you had previously created on your old PBX and saved.

Replace an old PBX by reusing PBX Activation license on a new PBX (Per Service PBX)

To reuse the PBX Activation License of your old Per Service PBX on your new Per Service PBX, proceed as follows:

  • Go to WMP -> PBXs

  • Find your old PBX on the list and click Details:


  • Copy Activation serial and Activation code


Once your new PBX is activated, the Activation license is disabled on your old PBX. Now you can restore your new PBX from backup that you had previously created on your old PBX and saved.
